Event Strategy
Is your event aligned with your organisations strategy? And how do you translate that to a successful event strategy? Do you have a good understanding of who your stakeholders are, and what they want to achieve with the event? We help you answer these questions to set your event up for success.
Event design & Concept development
Through detailed briefings, we help you to clearly define the goals of your event. Based on that, we design the different elements in order to reach those goals and satisfy your participants, sponsors, exhibitors and other stakeholders. This includes important elements like defining the target group, suitable meeting-, session- and networking formats, speakers and catering, as well as destination and venue choice.
Sustainability
Over the last few years, sustainability in conferences and events has become an important factor that can not be ignored anymore. At the same time, we see organizers struggle with implementing measures to reduce their environmental impact. OCES helps with identifying easy wins as well as formulating concrete goals and actions on the way towards more sustainable meetings.
Request for Proposal
Whether you are starting from scratch or want to improve your existing RfP’s, OCES’s extensive expertise helps to make your RfP’s as specific as possible in order to get high quality and comparable proposals.
Contracting
OCES can support you with or handle all your events-related contracting needs, for example with venues, DMC’s, catering & staffing companies, AV suppliers, stand builders, insurance and others. We make sure that you get a balanced contract that doesn’t disadvantage you when it comes to cancellation, liability or Force Majeure.
Budgeting & Financial planning
Based on the variables that have been defined in the design phase, OCES prepares a detailed budget for your conference which is constantly being updated during the duration of the project. After the event, you will receive a detailed overview of all cost as well as income.
We are also happy to take a look at your existing budgets, identify potential for savings and work with you on developing a long-term financial planning for recurring events.
Technology
Choosing the right technology for your event can be challenging. We make sure that you have the right solutions to achieve your goals when it comes to a platform for your virtual or hybrid event, registration, event- & networking apps, voting & polling, AV and Wifi. We assess the different options and figure out what makes sense for your event, how it integrates with your existing solutions – and of course what works for your budget.
Production
OCES is of course available to produce your event. As with all our other services, we can do this on different levels, depending on your needs. We can take care of the full production or parts of it, in coordination with your in-house events team or with your PCO and other suppliers.
Data Analysis
Congratulations, you just organized a very successful conference! But do you know why it was successful? How can you improve it the next time? Where are the hidden gains, in quality as well as in revenue? Which elements should be adjusted, which ones can be removed? By analyzing and cross-referencing the available data, we uncover potential improvements and make suggestions for your next conference.

The two main ingredients for our high quality services are Experience and Network.
Working in the MICE industry for more than 20 years, I have gathered broad experience with a large variety of events as well as clients. Through this journey, I have built/gathered expertise around/in many aspects of events. This knowledge not only enables me to solve complex problems but also often leads me to use uncommon approaches to specific challenges. I am happy to put this expertise to work to find the right solutions for you!
The second ingredient is the extensive network I have built over the years. To organize complex conferences and events, we tap into this network and find the best solutions for you – without being tied to specific suppliers
The setup depends on your needs: we can work alongside your events team as well as with your PCO or DMC, as interim event manager or director, in-house or remotely.
When it comes to services, we create a tailored offer for you, which can consist of a single service as well as a full-service package.
Clients & types of events
Due to our broad experience and large network, we are comfortable to provide solutions and create events for Associations, Non-profit organizations and Corporate clients.
Our expertise covers smaller meetings for as few as 40 people as well as large conferences and exhibitions with more than 7,000 participants.
Based in Seattle and used to working remotely, we can organize events anywhere in the world, utilizing the latest tools and technologies to coordinate with clients and other stakeholders – thereby keeping the need to travel to a minimum and reducing our ecological footprint where possible.
